Much of your working day already happens in an inbox. Quotes go out, bookings get confirmed, shifts get filled, all by email. The problem is that email is easy to miss, a text message is not.
Email to SMS closes that gap. It lets you send a text message from the email account you’re already using without installing an app or learning a new system. This guide explains how email to SMS works, how to send a message from Outlook, Gmail, or any other email client, what happens when people reply, and when it makes sense to automate the process.
What is email to SMS?
Email to SMS, also called email to text, turns an email into a text message. You write an email and send it to a dedicated address, and an email to SMS gateway converts it and delivers it to a mobile phone. The recipient gets a normal SMS, they don’t need an email account or an app and there is no sign the message started as an email.
It suits businesses whose work already runs through email. Reception staff, office managers, dispatchers, and sole traders can text a customer or colleague without leaving their inbox or logging in to a separate messaging platform.
How does email to SMS work with WEL Corporation?
WEL Corporation’s Email to Broadcast service lets a registered user send an SMS by emailing a service domain. The body of your email becomes the text message. You have three ways to choose who receives it, in the email address itself, in the body of the email, or by referencing a contact list already saved in your account. The subject line becomes the job name, so every message you send appears in your broadcast history where you can check that it was delivered. Additional account settings allow you to either concatenate the email subject with the body of the message, or simply use the email subject as the SMS message.
There’s very little to set up. Register an account, choose how your emails are authenticated in your account settings, contact our team for your Email to SMS address, and you’re ready to send. There’s no software to install and nothing to change in your email client.
How do you send an SMS from Outlook or Gmail?
Email to SMS works by receiving an ordinary email, so it works from any email client. Outlook, Gmail, Apple Mail, and webmail all behave the same way. If you can send an email, you can send an SMS.
- Open a new email in Outlook, Gmail, or whichever client you use.
- Address it to your Email to SMS address with the recipient’s mobile number set in the address or in the body of the email.
- Add a subject line. By default, the recipients won’t see it, but it names the job so you can find it in your history later.
- Write your message in the body of the email.
- Send it, then approve the job from the confirmation email (if you use challenge response authentication).
Save the Email to SMS address as a contact and sending a text becomes as quick and easy as sending an email.
Important to note: Watch your email signature. Everything in the body of the email can end up in a text message, including a signature block or legal disclaimer. WEL Corporation can strip these out automatically by marking where your message ends, but the simplest fix is to send from an account or template that has no signature.
Can you send email to SMS to more than one person?
Yes. You can include several mobile numbers in one email or point the email at a contact list saved in your WEL Corporation account, and the message goes to everyone on it. Each person receives it as their own SMS, not as a group chat.
You can also schedule a message. A scheduling option in the email sets a future send time, so a reminder written this afternoon can go out first thing tomorrow morning.
For quick messages to a team or a small group of customers, sending from your inbox is all you need. For larger sends, like a promotion to your whole customer list or an urgent community notice, our SMS broadcast guide covers those options in detail.
How long can an email to SMS message be?
An email to SMS message can be up to 1,500 characters. A single SMS holds 160 characters, so a long message is sent in parts and joined back together on the recipient’s phone. Each part counts as a message, so keep it short where you can. Brief messages are also the ones people read and act on.
Can recipients reply to an email to SMS?
Yes, if you want them to. Turn on the two-way option in your email and replies come back to you as an email, either to your own address or to a nominated reply address such as a shared inbox. If adding the two-way tag is not feasible, simply update the default two-way setting to force all SMS to be two-way. The conversation stays in your inbox, where it started.
Whether people can reply also depends on your Sender ID, the name or number the message appears to come from. By default, WEL Corporation sends messages from a virtual mobile number which the recipients can reply to. You can ask to use your own valid mobile number instead, or an alphanumeric Sender ID of up to 11 characters that shows your business name. A branded Sender ID looks more professional, but recipients can’t reply to it.
That matters for compliance. Commercial messages sent by email to SMS are covered by the Spam Act 2003, just like messages sent any other way. You need consent from the people you message, your business must be clearly identified, and every commercial message needs a working opt-out, honoured within five business days. If you send under a branded Sender ID, your opt-out needs to be a link or a “Reply STOP” instruction pointing to a virtual mobile number.
Since the 1st of July 2026, branded Sender IDs used in Australia must also be registered on ACMA’s SMS Sender ID Register. Unregistered Sender IDs are labelled “Unverified” by carriers. Your business can’t register directly and must apply through a registered telecommunications provider, and WEL Corporation can apply for you.
Is email to SMS secure?
An email to SMS service takes its instructions by email, so it needs to be sure each email really came from you. WEL Corporation offers three ways to authenticate, set in your account settings. Challenge response holds each job and emails you for confirmation before anything sends, which suits people sending from their own inbox. Embedded password sends immediately when the correct password is included in the email and suits automated systems. Sender address authentication relies on your email address alone.
If your business runs its own mail server, you can go further. Add its addresses to the IP whitelist in your profile so only emails from your own infrastructure are accepted and nominate an address to be alerted if a request arrives from anywhere else. Even if you don’t run your own mail system, the IP whitelist parameter can also do SPF (Sender Protection Framework) checks. Simply include your domain such as “spf:mydomain.com”, and the system will check that the mail came from a server authorised by the SPF DNS records for mydomain.com.
Where your data is stored matters too. Every message you send carries a customer’s mobile number, and often more personal detail than that. WEL Corporation’s servers are all hosted in Australia, so your messages and contact data stay within Australian jurisdiction and under Australian privacy law. For healthcare, government, and other data sensitive organisations, that is often the deciding factor when choosing an email to SMS provider. With customisable data retention policies, you choose how long your message content is retained.
When should you automate email to SMS instead?
Sending from your inbox works well while a person decides what to send and when. Once the same message goes out every time something happens, such as an order shipping or a booking being made, it’s worth letting your systems send it instead. Most business software already sends email, so a CRM or booking system can trigger the same Email to SMS service with no new code. Our guide to SMS automation explains how to set it up. Businesses with development resources can go further with WEL Corporation’s API.
